收到索数邮件，第一封回复怎么写
2026 年下半年起，越来越多中国电池及供应链厂商收到欧洲客户的邮件：要求配合"数字产品护照 / Digital Product Passport / Battery Passport"，附一份英文字段清单或问卷。很多人第一反应是两极的——要么全盘答应"我们会配合"，要么回复"这是客户的事"。两种都不对。
正确的第一封回复要完成三件事：确认范围、确认责任、给出时间表。做到这三件，客户会把你看成"懂行的供应商"，而不是又一个大隐患。
一、回复之前，先问清四个问题

二、怎么区分"法规要求"和"客户要求"
把对方清单里的每一项分到四个桶里（我们的缺口清单工具已内置这个标注）：
- 法规要求：Annex XIII 明确列出的字段（如制造商信息、电化学体系、关键原材料）——2027-02-18 起 EV/LMT/工业>2kWh 电池强制；
- 条件要求：有对应场景才填（如使用历史数据"在适用情况下提供"）；
- 暂缓项：首轮实施暂不强制、后续强制（如回收料占比申报自 2027-08-18 起，尽调义务同日生效）；
- 买方自加要求：超出法规的（如指定碳核算方法、指定平台）——这属于商务范畴，可以谈价格与排期，也可以拒绝。
三、三封可直接改用的回复
1. 收到索数当天（确认 + 反问）
主题：Re: Digital Product Passport — data request confirmation
Thank you for the DPP data request. To prepare an accurate submission plan, could you confirm: (1) whether the field list follows the EU regulatory data points (Annex XIII) or includes buyer-specific additions; (2) who will create the passport and register it in the EU registry; (3) the preferred template and file format; (4) whether the deadline is regulatory or internal. We will send a gap assessment within 5 working days after your confirmation.
2. 缺口评估完成（有缺失项）
主题：Re: DPP data request — gap assessment & submission plan
We completed the internal readiness check. Fields available from existing documentation: [X] items, ready within [N] working days. Identified gaps: [Y] items — mainly [categories, e.g. recycled-content declarations (regulatory start: 18 Aug 2027) and upstream sourcing records]. For the gaps we propose: [plan with dates]. 3. 客户要求超出法规时（守住边界）
主题：Re: DPP — scope clarification
Items 1–[X] are regulatory data points and are covered in our plan. Items [Y]–[Z] (e.g. a specific LCA methodology / platform onboarding) currently go beyond the mandatory regulatory requirements — we are glad to support them as a separate work package with its own timeline and cost.
四、绝对不要在第一封邮件里做的事
- 不要发真实 BOM、配方或完整供应链数据——先用脱敏字段清单对齐口径（工具与资料包都只处理字段名与状态）；
- 不要承诺"完全合规"或给出通过率——注册与合规结论由登记主体与当局决定；
- 不要现在就购买电子印章（QSeal）——先确认登记主体是不是你；
- 不要口头答应时间表——所有排期落进书面回复，留痕。
